What Odoo Community includes, why exporting to ChatGPT falls short, and how to get answers you can check, read-only and within access rights

To ask questions about your Odoo data in plain English on Odoo Community, you need an add-on: Odoo 20 Community has no AI assistant that answers questions about your records. With an add-on such as AI Data Assistant, ChatGPT (OpenAI), Claude, Gemini or a local Ollama model answers questions like "What were confirmed sales per month this year?" inside Odoo with your own key, as a table you can check, read-only and within each user's access rights, which is what makes it safe to let it read your data. Below: what Odoo Community includes, the usual workarounds and their limits, what to check before you let an AI read your ERP data, and how to set one up, checked against the Odoo 20 source.

  • Odoo Community has no AI assistant. Its built-in AI only writes text, in the editor and when the website builder drafts pages, through Odoo's own text generation service. Nothing in it answers questions about your records.
  • Exporting to Excel and pasting into ChatGPT works for one question, but the data is a snapshot, the export can include more than you meant to share, and nobody can check how the numbers were computed.
  • An in-Odoo assistant looks the data up live, with the rights of the person asking, and can show the records behind every number.
  • Safety is the part to check: the AI should only be able to read, only what the user may see, and never run its own SQL.

What Odoo Community includes

Odoo 20 Community has no module named or working like an AI assistant. The AI it does have writes text: in the HTML editor you can ask it to write or rewrite a text, and the website builder uses it to suggest themes, draft page text and shop categories. These requests go to Odoo's own text generation service. None of them reads your sales orders, invoices or contacts, and none answers questions about them.

The reporting tools are still there and are good: list views with grouping, pivot and graph views, and exports. They answer any question, as long as you know which model, which filter and which grouping to pick. An AI assistant does that picking for you: you type the question, it chooses the model, the filter and the grouping, and Odoo computes the numbers.

The usual workarounds, and where they stop

  • Export to Excel, then ask ChatGPT or Claude. Fine for a one-off question. But you have to export again for every new question, the file often contains columns you did not mean to share, and the AI computes totals from whatever you pasted: if the export missed records, the answer is wrong and nothing tells you.
  • Connect an outside AI app to Odoo through the API. Desktop AI apps can call Odoo through connectors (MCP servers, automation tools). This works for people comfortable with API keys and connector set-up, but each user needs a key (or everyone shares one), and a key acts with its user's full rights, including writing.
  • Build reports in advance. Saved filters, pivot views and dashboards answer the questions you thought of in advance. New questions still need someone who knows Odoo's models.

What to check before an AI reads your ERP data

Most of the risk is not in the AI model, it is in what the assistant lets the model do. Before installing any assistant, check four things:

  • Can it change data? An assistant that can create or write records can do so by mistake, or because text inside a record told it to. For questions, read-only is enough, and it is safest when the database itself refuses writes, not only the prompt.
  • Whose rights does it use? It should run as the person asking, so a salesperson who sees only their own orders gets answers from their own orders. An assistant running as administrator shows everyone everything.
  • Does the AI write SQL? SQL bypasses Odoo's access rights and record rules. Fixed lookups (search records, group and total) keep Odoo's rules in force.
  • Can you check the answer? AI models misread questions. A button that opens the exact records behind a number in Odoo's normal list view turns "trust me" into something you can verify in one click.

Ask your Odoo data in plain English

We made AI Data Assistant for this (GRAMSHIFT, Odoo 20 Community and Enterprise, self-hosted or Odoo.sh; Odoo Online does not accept third-party Python modules). You open it from the top bar of any screen and ask in any language. The answer comes as numbers and a table, and every table has an Open in Odoo button that opens the matching records in the normal list view with the same filter (and the same grouping where the list view supports it), ready to filter further or export.

  • Your own AI key: OpenAI, Anthropic Claude, Google Gemini, or an OpenAI-compatible server such as Ollama or LM Studio. One-time purchase; you pay your AI provider directly for what you use, and a monthly token limit per user keeps the bill predictable.
  • Read-only by the database: each lookup runs in its own transaction set to read-only before it starts, so PostgreSQL itself refuses any write, and the transaction is rolled back.
  • The asking user's rights: lookups run as that user, never with superuser rights, so access rights, record rules and the selected companies apply.
  • No SQL from the AI: it can only list models, list fields, read records and compute totals and groups. Fields whose names mark them as passwords, API keys, tokens, PINs or secrets, file contents, attachments and system parameters are blocked, and administrators can limit which models it may read.

Set-up: install the module, open AI Assistant > Settings, choose the provider and paste the key, then click the AI icon in the top bar. The provider you chose receives the questions, the earlier messages of the conversation, the user's name, the date, time zone and company names, and the results of the lookups; with a local model they never leave your network. If you also let outside AI agents use Odoo API keys, AI API Key Permissions makes those keys read-only and AI & API Audit Log records what each key changed.
