To build your own KPI dashboard on Odoo 20 Community and share it with your team, you need an add-on: Community shows Odoo's ready-made dashboards, but creating or editing them is an Enterprise feature, and "Add to my dashboard" only builds a private page for one user. With an add-on such as AI KPI Dashboard, any list, pivot or graph you already use becomes a number card or a chart in one click, the dashboard can be shared with your sales team, and each person sees only the numbers their own Odoo access rights allow. Below: what Odoo 20 Community includes, the usual workarounds and where they stop, what to check before you share a dashboard, and how to set one up, checked against the Odoo 20 source.

  • Community can show dashboards, not build them. Installing Sales, Invoicing or Point of Sale also installs their ready-made spreadsheet dashboards. The Edit action calls a method that only Odoo Enterprise provides.
  • "Add to my dashboard" is private. It saves the current list, pivot or graph on a page that belongs to the user who added it, with no number cards, no comparison with last month and no sharing.
  • Exporting to Excel, Google Sheets or Power BI works, but the numbers are a copy, outside Odoo's access rights.
  • A shared dashboard inside Odoo should count each card again for each viewer, with that viewer's rights, so one dashboard serves the manager and the salesperson.

What Odoo 20 Community includes

Odoo 20 Community comes with ready-made dashboards built on Odoo's spreadsheet engine: when you install Sales, Invoicing or Point of Sale, their dashboards are installed with them, and each one can be limited to access groups. In the source, the dashboard screen has an edit action, but the server method it calls is not part of Community: changing a dashboard or creating a new one is done in Odoo Enterprise's spreadsheet editor.

The Dashboards app, which you install separately, adds Add to my dashboard to the gear menu of list, pivot and graph views. It keeps the view with its filters and grouping, and stores it as a personal copy of the "My Dashboard" page for the user who clicked. That is useful for yourself, but nobody else sees it, and it shows the views as they are: no single big number, no target, no change against the previous month.

The usual workarounds, and where they stop

  • Export to Excel or Google Sheets and build charts there. Fine for a monthly report. But each export is a snapshot, someone has to repeat it, and the file contains every row the exporter could see, so you cannot share one file with salespeople who should only see their own orders.
  • Connect Power BI, Looker Studio or another BI tool. Powerful, but a connector usually reads Odoo with one account, so Odoo's record rules no longer decide who sees what in the reports: you rebuild those rules in the BI tool, which is usually licensed per user.
  • Use pivot and graph views with saved filters. They are always right and always live, but each one is a separate screen. Nobody opens six screens every morning, and a TV in the office cannot rotate through them.

What to check before you share a dashboard

A dashboard everyone opens every day has to be right for everyone. Before installing any dashboard app, check four things:

  • Whose rights count the numbers? If the cards are computed with administrator rights, every viewer sees every figure, including margins and other salespeople's orders. They should be computed as the person looking.
  • Can you check a number? Clicking a number or a bar should open the exact records behind it in Odoo's normal list, with the same filter and period.
  • Does it touch the rest of Odoo? Some dashboard apps restyle or patch standard screens and break other views after an update. Look for styles kept inside the dashboard and no changes to Odoo's own components.
  • If it has AI, what does the AI receive? Building a card does not need your data: the model and field names are enough. Prefer an AI that never receives records, customer names or amounts.

Build shared dashboards from the lists you already use

We made AI KPI Dashboard for this (GRAMSHIFT, built and tested on Odoo 20 Community, self-hosted or Odoo.sh; Odoo Online does not accept third-party Python modules). Filter and group any list, pivot or graph the way you always do, choose Add to KPI Dashboard in the gear menu, and it becomes a card on the dashboard you pick, drawn with your real numbers before you add it.

  • Cards: a big number with the change against the previous period (this month against last month) and an optional target, bar, horizontal bar, line and doughnut charts, and top-N lists. Ready-made dashboards for Sales, Invoicing, CRM, Purchase, Inventory and Point of Sale are offered for the apps you have installed.
  • Shared, counted as the viewer: share a dashboard with yourself only, with chosen groups or with all employees. Every card is computed again for each viewer with their access rights, record rules and current company, and a card such as margin can be shown to managers only.
  • Every number opens its records: click a number, a bar or a slice and Odoo's normal list opens with the records behind it.
  • Kept to itself: its styles apply only inside the dashboard, it does not patch Odoo's standard screens, and it loads nothing from outside your server. Arabic and other right-to-left languages are laid out right to left.
  • Optional AI that never sees your data: Describe a card turns a sentence such as "confirmed sales this month, untaxed, compared with last month" into a card, with your own OpenAI, Claude, Gemini or local model key. The provider receives the sentence, model and field names and labels, and whether each proposed card was accepted, never records from your database or amounts.

Set-up: install the module, open KPI Dashboards and click Start from a template, or go to any list, pivot or graph and choose Add to KPI Dashboard in the gear menu. Then choose who sees the dashboard. One thing to know: a filter such as "My Quotations" is saved for the person who added the card, and the add window warns about it; use a grouping by salesperson instead when the dashboard is shared. If you also want to ask questions about your data in plain English, AI Data Assistant answers them read-only, and AI KPI Dashboard reuses its AI settings.
